Case Study: Mount Baker Toppers

.

The Mt. Baker Toppers saw the need to automate their chapter processes and set about to find a solution.  They already had a "Members Only" web site, but were prepared to pay several thousand dollars to get one that better served their needs.

That's when they discovered an early version of "Groupanizer SING!" and began to work with us to build in solutions.  We added the "song status" module that connects members to songs, and lets them track their own status on each song.  They also involve section leaders to give ultimate approval on each song when each member is ready for public performance.  Constantly having the learning expectations top of mind has meant that the chorus learns faster, and everyone is on the same page.

We also built an attendance module that would allow not only detailed tracking of each member\'s attendance (and follow-up where needed) but also the ability to predict in advance exactly which people would be at each rehearsal and show.  So it's no longer a mystery whether there will be six tenors or zero, and the musical leadership can plan and react accordingly.

We used to waste so much time and redundant energy on making general announcements for the group, giving directions, handing out documents, keeping of and accessing records and documents, scheduling events, and handing out learning resource material. Now I just say, “Here’s what we’re doing, check the members portal.” Members can find the necessary information at a time that is convenient for them, when they are ready to absorb the subject matter. When you plan, you don’t have to plan twice -- it is now documented and archived. The brain forgets details, the computer does not. The Groupanizer helps you see the big picture of the organization at all times and not just focus on the minute details that you are used to focusing on. You now view your details while viewing the entire organizational scope.

Toppers Past President Ed White has been the project manager getting the Toppers up on Groupanizer, and has this to say:

I have noticed an increase in interest in board members who like the ability to update events and have them available for others.  I feel it has provided a valuable tool in our music learning capabilities, tracking attendance and guests.
