I have a couple of questions:
1) I have one member that does not have an e-mail address at all. I've temporarily added her using my other e-mail account so that we can track her song status, etc. Is there a way we can add users that don't have an e-mail address at all? (I know, unheard of, right?!?) I know it's a required field to add a new user, so that's why I was asking....
2) We have guest members that would like access to our learning tracks on our Groupanizer site. Is there a guest member profile of some sort that they can have access without us having to add them as a user with their personal e-mail, etc.? I saw the "recruiting tracker", but didn't see that it would allow them a generic login to get to the information.

Hi Heather, we also have several members with no email. To get around the email requirement, I first used my valid second account to get them on as a member, then changed it to a bogus one. i.e. noemail1@hotmail.com. It does not verify on the change, so that seems to work, as long as you don't need to edit the account.
I created a Propective Member page for people to have access to just the learning tracks and sheet music they needed to audition. I got this idea from Lions Gate as they did the same thing.

I have set up my prospective page, but have a couple of places prospectives can still get into, and I would like to change that.
They are NEWS and DOCUMENTS in the main menu bar, and possibly DISCUSSION BOARDS in the secondary menus.
Where do I start?

admin/ content magement / Book Page/ access control.
Authenticated user was checked. I changed it to Member. Authenticated included prospectives....and member covers everyone else.
Results...Documents no longer show. News does show, but when you click tab it says " no blog entries have been created" I'm cool with that. The only other Primary menu item is Public...but thats because we have a public site on the front end.
As Far as the items on the secendary menu...photo gallery, cool with that showing, and Discussion Board...no one uses it anyway. Now if it was chat...would be a very different story!

On your installation of Groupanizer go to
Administer > Site Configuration > File System
Is your site set to Public or Private?
I checked , and my site is set to private. Ian's is set to public....but I am concerned about the following statement..
Choose the Public download method unless you wish to enforce fine-grained access controls over file downloads. Changing the download method will modify all download paths and may cause unexpected problems on an existing site.
Yes, switching might be the answer to getting those attachments accessible to the Prospective page...but what else could happen?????
Is there anyone else with a public site, and and accessible attachments on their prospective member page?

I'm cool staying private. I would just like a way for my prospective members to be able to download the files I have posted on the prospective page for them. Trying to sort out the access denied they are getting.
Any solutions out there?

Chugging right along on doing this, but have got stuck.
I am now where I go to the prospective page, /access Control Tab. It would let me click the :view any content box"...or any other bow for that matter.
In permisions, I have check both boxes under content_access module for the roles of prospective and members...which includes everyone.
Suggestions?

I am stuck at:
Access Control: Content Management > Content Types > Edit Page > Access Control. Scroll down until you find "Enable per content node access control settings" check the box and click Submit.
I don't see "Edit Page" under Content Types, so I assume you mean to "edit" the "Page" type, but I don't see "Access Controls". I have checked permissions and I have content_access module checked.
I've missed something for sure, just need help figuring out what I missed.

Yup I checked and both "grant content access" and "grant own content access" are already checked for Site Admin.
BUT I just found it... it was probably there all along. I had to click on Page and the Access control is at the top.
I was clicking Edit at the far right of Page in the Content Type menu.

make sure the Propective member role has the following rights.
Node Module > Access content
That is the only thing that I have checked for that role and I can access song content.

Just checked that, and access is now granted to prospectives, but now I see the repertoire tab is also visible, and fully accessable ?

I did not grant Propective member that permission and a test logon with that role works just fine...

I recently added another song to my Prospective Member page and I believe I did everything the same, but its behaving differently.
Everything works fine when I am logged in as a Member, but when I log in as a Prospective member (with limited rights)
- When I try to download the file I am getting only a 10 KB file
- when I try to just play the file I get a message saying I don't have permission.
Doesn't happen to files I loaded earlier, what am I missing?

I am not much of a techie; just enough to get myself into trouble at times, so this forum is a God send. Thanks for this post, Carole, and everyone else who posted. I have just implemented this approach in our website, for Candidates and it looks like it will fill the bill.
This thread of postings would probably be considered ancient, in Groupanizer's terms of reference. So much seems to have happened in the two years since. But newbies such as myself are very grateful for the time you took to point the way.

We are also using bogus email addresses for two members that don't have email. The only problem is that when people post new mailing list messages using email they get bounce messages for the two invalid addresses. It's not the end of the world, but it is a bit of a pain. If Groupanizer requires a unique field here it would be nice if it supported a special "username@NONE" syntax that could be ignored when it sends messages.

If you have a user, John Doe, that doesn't have an email address just use johndoe@mailinator.com
Groupanizer requires unique email address and this format will keep Groupanizer happy.

You don't have to set anything up, just send it email and it all goes into oblivion. Truely you can put anything you want before the @ sign and Mailinator will accept the email. Nothing bounces back.
Great tool when you have to enter an email address but don't have one you want to use and you don't care what gets sent to that address.

Not quite sure of what " Perspective" means in this instance. Prospective? That is achieved by typing slower or in Canadian.
Take down laughter card. Sounds to me like you want a battleship to replace a slingshot. Send new prospects an email with mp3 and pdf attached for their learning. Simple and it notifies you if the email address is valid.
Lets see how other users feel. We will even listen to our brothers in Kiwi Land.

Hey folks,
I know there's a thing called "plus notation" in email addresses that might be really useful here.
http://en.wikipedia.org/wiki/Email_address
Basically it means that in the email world, name@foo.com is the same as name+whatever@foo.com. So if you've got a member with no email address, you might be able to have his email sent to his buddy. For example:
Buddy's email address: john@doe.com
Person with no email should use: john+buddy@doe.com
Does that make sense?
OK, I've been hesitant to comment on this topic as I might open a can of worms that I'll be forced to clean up. Regardless, here's how I (and my chorus) roll in this arena:
I have an account called Guest. It has no assigned role other than Authenticated User and therefore no user profile. It's an active account and can be used to login to the system. The email address for this account is bogus, something like guest@testingstuff.com. I have things locked down to where this account cannot see our secondary links. The only primary links that are visible are Dashboard, Calendar and Documents. I only have a handful (like 5 or 6) permissions assigned to the Authenticated User role, some key ones probably being:
dashboard module - view member dashboard content
node module - access content
upload module - view uploaded files
Some of you may have gasped when I listed Documents as a visible primary link earlier. Well, I use Access Control on a per book page method making it so there is only one key book page the Guest account can access when clicking Documents. That book page is called Audition Materials. On that book page I've uploaded the learning media for our audition piece, the downloading of which is the sole goal for someone using the Guest account. Yes, regular members can see that book page when they click Documents, but to me it's no big deal. Regular members are never going to have the need to click it because they can access the Repertoire.
Most other random things that are clickable for Guest yield "You must be logged in" errors and I'm fine with that. If they pass their audition I make them their own account where they update their own profile. If they don't pass their audition, c'est la vie and I have the ability to change the Guest account password if I feel it necessary. Not like the account has the ability to break anything anyway. Additionally, if you haven't been using the Recruiting Tracker functionality to its full potential you're missing out. There's good stuff there. I think so anyway...
Understand this model may not be for everyone, it's just how I roll. New member processes can vary greatly from chorus to chorus and this may not be the best fit for you. That said, if anyone needs more specifics about the above configuration, let me know and I'll attempt to rehash any settings that might not be obvious. I put this in place ~four months ago and a lot of life has happened since then. :D

Problem solved but I really don't know why or how... but I have an idea.
Trying everything I could think of I went in and gave Permission to Anonymous users to View Uploaded Files. Prospective Members already had this permission, but amazingly this solved the problem.
Because this didn't make any sense, I went back in and unchecked permssion for Anonymous uses to view uploaded files and then went back in a my test guest acount. I could still access everything I should be able to access. I got in touch with one of my guests and had him test too. Everything working fine.
So my "idea" of how this was solved was that it was a permissions problem. I think that making a change to the table and saving it forced an update of the permssions on the files/pages invloved. Removing the permission for anonymous users and saving it again was just the right thing to do.

OOPS... new File Finder function takes all the fun out of Prospective Member functionality as Prospective Members get access to all files on the site through File Finder.
I was hoping I could turn off access to File Finder for Prospective Members in the Permissions section but I couldn't find anything there.

Ok...Getting ready for another membership drive, and I really want to get the prospective page sorted out.
My issue is that Prospective members are getting access to all of the repertoire.
The Repertoire tab is showing at the top of the page. Is there a way to remove the tab, but still allow access to the direct links I have set up on the page?

I doesn't show when I set up the prospective member page as described. You need to make sure permissions are set so that guests don't have permission to access repertoire. If you can't get it, contact me and we'll work on it together over the phone.

Now that I've got my Recruit role and content setup, I would like to have the menu item that I've created for recruits only show up for recruits. But I can't find a way to set role-based permissions for a menu item. The menu item points to a book.
Is there a way to control what menu items show up by role?
